1. Who is responsible for your information
HiMood Group Ltd, trading as Beta Check Hub, is the controller of personal information collected through this website. We are registered in England and Wales under company number 17263997. Our registered office is 20 Wenlock Road, London, England, N1 7GU.
Privacy enquiries can be sent to crm@betacheckhub.info.
2. Information we collect
We collect information you choose to provide and limited technical information needed to operate the site.
- Project enquiry details, including your name, business email, company, project type or industry, engagement preference, indicative budget, target delivery date, preferred contact method, optional phone number, confidentiality request and message.
- For an invited client proposal portal, access-session information and the name, feedback, options or review notes you choose to submit. Feedback may be visible to the people given access to that shared client review and to authorised administrators; it is not a private message to an individual.
- Correspondence and any additional information you provide when we reply.
- Basic technical and security records, such as IP address, browser or device information, requested pages, dates, times and server events.
3. Why we use it and our lawful bases
We do not add contact-form users to a marketing list, and we do not use their information for solely automated decisions that have legal or similarly significant effects. Acknowledging this notice in the form is not consent to marketing. Where you enquire on behalf of a business rather than as the contracting individual, the relevant basis is normally our legitimate interest in responding to that business enquiry.
- To respond to enquiries and discuss a possible project. We rely on taking steps at your request before entering into a contract and, where applicable, our legitimate interest in developing business relationships.
- To deliver agreed services and manage client relationships. We rely on performance of a contract and our legitimate interests in running the business effectively.
- To keep the website secure, diagnose faults and prevent misuse. We rely on our legitimate interests in protecting our systems, users and business.
- To keep records and comply with legal, tax, accounting or regulatory duties. We rely on legal obligations and legitimate interests in establishing and protecting legal rights.
4. How we receive information
Most information comes directly from you when you complete the contact form or correspond with us. Technical information is created automatically by web servers and security systems when you use the site.
The public AI examples, sliders, audio previews and game run in your browser. They do not send your inputs to an AI provider or create a public leaderboard. Game scores last only in the current page session. If you follow an industry-specific enquiry link, the selected industry is passed to the contact page and included when you submit the form. Please do not include sensitive personal data, passwords or confidential source material in a public enquiry.
5. Who we share information with
We do not sell personal information. We may share it only where reasonably necessary with:
- hosting, email, security and IT providers acting for us;
- professional advisers such as accountants, insurers or legal advisers;
- project suppliers or collaborators where this is necessary and appropriately controlled; and
- courts, regulators, law enforcement or other authorities where required by law.
6. International transfers
Some service providers may process information outside the UK. Where UK data protection law requires it, we use an adequacy regulation or appropriate contractual and organisational safeguards. You can contact us for more information about safeguards relevant to your information.
7. How long we keep information
Project enquiries are normally kept for up to 24 months after the last meaningful contact, unless they develop into a client relationship or we need to retain them longer for a legal reason. Client and contract records may normally be kept for up to six years after the relationship ends. Technical and security records are kept only for as long as reasonably needed to operate, protect and investigate the site.
The enquiry form’s abuse protection stores a hash derived from the connecting IP address, an attempt count and an expiry time on the server. Each limit expires after one hour; expired entries are removed on the next valid submission attempt. These records do not contain your enquiry text. Separate hosting and email logs may have different retention periods.
8. Your rights
Depending on the circumstances, you may have rights to:
- ask for access to your personal information;
- have inaccurate or incomplete information corrected;
- ask for information to be erased or its use restricted;
- object to processing based on legitimate interests;
- receive certain information in a portable format; and
- withdraw consent where consent is the lawful basis.
9. Your right to object
You have the right to object to processing based on our legitimate interests. We will stop unless we have compelling legitimate grounds to continue or the processing is needed to establish, exercise or defend legal claims.
10. Complaints
Please contact us first so we can try to resolve your concern. You also have the right to complain to the UK Information Commissioner’s Office.
You do not have to contact us before approaching the ICO. We will consider privacy requests and complaints and respond within the time limits that apply under data protection law.
