Running a model on a workstation or controlled server may keep prompts and outputs close to the source, reduce external dependency and support offline tasks.
A system can search selected documents and supply relevant evidence to the model, but source quality, permissions and versioning still determine reliability.
Constrained fields can turn model output into a draft record, classification or workflow input that software can validate before it is used.

What does this actually mean for your business?
If your team keeps reading the same emails, copying details between systems, searching for answers or assembling reports, there may be a better way. We connect the tools you use and build a repeatable process around the work.
01 / AUTOMATION
The steps that happen for you.
Automation follows a set of rules: when a form arrives, save the details, create a job and notify the right person. It is useful for predictable tasks and often needs no AI at all.
Think: the same task, completed consistently.02 / AI & LLMS
Help with reading and writing.
A large language model, or LLM, is a type of AI that works with language. It can summarise a long email, pull out useful details or draft a reply. It can make mistakes, so we build in checks.
Think: a first draft your team can review.03 / N8N & CONNECTIONS
Your tools working together.
n8n is a workflow automation platform. We can use it to connect your inbox, forms, customer records, calendars and other tools, with an AI step where it helps. Custom code fills gaps between systems.
Think: less copying, fewer disconnected tasks.
A practical example: an enquiry arrives → AI extracts the request → n8n creates a customer record and prepares a reply → your team checks it before sending. You stay in control of the customer relationship.
PUT IT IN YOUR WORLD
What kind of business do you run?
Choose your industry to see a practical starting point.
AN EXAMPLE FOR TRADES, CONSTRUCTION & FIELD SERVICES
From a job enquiry to a visit ready to book.
Job requests arrive by phone, email and web forms. Someone has to copy the address, work out what is needed, chase missing details and tell the right person.
An enquiry arrives: “We need the office lighting replaced in Sutton. Can you visit next week?”
AI / LLM
Make sense of the information
An LLM can extract the type of work, location and preferred timing, then prepare questions about access, photos or the scope of the job.
N8N / AUTOMATION
Move the work forward
n8n can create or update the customer record, prepare a job brief and notify the estimator. After approval, it can send the agreed reply and create a booking task.
YOUR TEAM
Keep the important decisions
Your team confirms the diagnosis, site availability, price and any safety requirements. The system does not promise a visit or quote on its own.
WHY IT CAN HELP
Less retyping between the inbox and job system, clearer handovers and fewer enquiries waiting for someone to pick them up.
OTHER POSSIBLE STARTING POINTS
Draft quotes from an approved scope and price list
Remind staff about unreturned estimates
Turn visit notes into a draft customer update
How Beta Check Hub helps
We map your enquiry-to-job process, connect the available tools and build a reviewed pilot around one service or team.
Illustrative scenarios, not client case studies or guaranteed results. Connections depend on the tools, access and subscriptions you have. We confirm feasibility, data handling and ongoing costs before building.
ILLUSTRATIVE BUSINESS WORKFLOW · NO LIVE SYSTEMS CONNECTEDREADY TO TEST
DOES THIS SOUND FAMILIAR?
Someone reads the email, copies the contact details into your customer system and writes a similar reply for the tenth time today.
“We need lighting installed at our Sutton office next month. Could someone call me to discuss a quote?”

02 · WHAT THE SYSTEM DOESRead the request. Prepare the next step.An LLM identifies the service, location and timing. n8n saves the details and assigns a follow-up.
03 · BUSINESS RESULTA reply draft + a follow-up taskYour team opens a prepared record and checks a reply using your approved service information.
HUMAN CHECKPOINT
A person approves customer-facing messages before anything is sent.
REVIEW REQUIRED
WHY IT HELPS
Less retyping and a more consistent follow-up, so a useful enquiry is less likely to sit unnoticed in an inbox.
Choose a task above and run the example to see the kind of output your team could review. This demonstration uses sample text, not a live AI model. We would build and test the real process around your systems, data and approvals.
MAKE THE OPPORTUNITY TANGIBLE
What could the time add up to?
Try one repeated task in your business. Allow time for someone to check the result; automation rarely removes every minute of work.
ILLUSTRATIVE TIME RELEASED10hours / week
100 × (8 − 2) minutes ÷ 60
A planning estimate based on your inputs, not a forecast or guaranteed saving. Setup, exception handling, maintenance and software costs still need to be allowed for. We measure the actual result in a small pilot before recommending a wider rollout.
FROM AN IDEA TO EVERYDAY USE
Start with the task that slows you down.
You do not need an AI strategy document to begin. Bring us an example of something your team repeats: an enquiry, a quote, a spreadsheet or a handover. We explain what could be automated, what needs judgement and whether the investment makes sense.
For a trades or service business
A customer emails a job request with an address, a preferred date and photos. A workflow can gather those details, flag missing information and prepare a job record. A person confirms the work, availability and quote.
Less retyping. A clearer handover from enquiry to job.
For a shop or online retailer
Order questions can be matched to order records. AI can draft a response using your approved delivery and returns information. Your team reviews exceptions, refunds and anything outside the agreed rules.
Faster answers with the right order information at hand.
For an office or professional team
Staff can search an approved set of policies, project notes and procedures using everyday questions. An answer can include source links, with access limited to documents that person is allowed to see.
Less searching and fewer repeated questions to senior staff.
For an operations team
A scheduled workflow can collect figures from customer records and spreadsheets, check for missing entries and assemble a weekly report. Software calculates the totals; AI can draft the commentary for review.
More time understanding the numbers, less time assembling them.
What we would actually deliver
Understand the current process
We map the tools, people and repeated steps, then agree a baseline for time, errors or response speed.
Build one useful pilot
We connect the relevant systems, define permissions and test with representative examples, including incomplete or unusual requests.
Make it usable for the team
We provide a clear review step, error notifications, documented workflows and a way to correct or stop a process.
Measure, hand over and support
We compare the pilot with the baseline, explain running costs, train the team and agree who maintains it.
The questions worth asking
How is this different from using a chatbot?
A chatbot usually waits for someone to copy in information, ask a question and move the answer elsewhere. An integrated workflow starts from a business event, uses approved information and prepares the next step in the tools your team already uses. The model is one part of that process.
What is a local LLM, and do we need one?
A local LLM runs on a computer or server you control. It can be useful where information needs to stay within a defined environment or a task must work without an internet connection. It needs suitable hardware, setup, maintenance and quality testing. A hosted service may be simpler for another task. We compare both against the information, workload, speed and budget involved.
Does self-hosting n8n keep everything private?
Self-hosting gives you control over where the workflow software runs. It does not automatically keep every piece of data there: a step that calls an external AI model, email provider or another app still sends information to that service. We map those connections, minimise the information shared and agree storage, access and retention settings.
Can it work with the software we already use?
Often, provided the software offers a suitable connection or API, which is a way for systems to exchange information. We inspect the available access, subscription restrictions and data quality first. n8n offers existing connections; a custom integration may be needed where an off-the-shelf connection does not cover the task.
What does it cost to run?
There can be costs for workflow software, hosting, AI usage, connected services and support. A local model also needs hardware and maintenance. Our proposal separates the build cost from those ongoing costs and explains who owns the accounts and pays each provider. We do not promise savings until the process has been measured.
What can go wrong, and who checks the result?
AI can misunderstand a request or invent an answer. Connections can fail, and source records can be incomplete. We test against real examples, validate structured data, log failures and route uncertain cases to a person. Prices, commitments, payments and other consequential decisions should follow explicit rules and the approvals agreed for the project.
Where is the technology going?
Models are increasingly being placed inside everyday business tools, with some tasks handled locally and others using hosted services. Our view is that the lasting value lies in reliable connections, good business information and measurable workflows. We keep those parts separate from the model so the technology can change without rebuilding the whole process.
What should we bring to a first conversation?
Bring a broad description of the task, roughly how often it happens, the tools involved and what a good result looks like. We can agree confidentiality before looking at detailed examples. No technical brief is needed.
Show us the task you would like off your desk.
We will help you decide what is useful, what is realistic and where to start.

WHY WE ARE DIFFERENT
The workflow leads. The model earns its place.
We do not begin with a chatbot, a model brand or a promise to automate everything. We study where time is lost, what information is approved, which errors matter and where a human decision must remain. The result may be a local model, a controlled cloud service, conventional automation or no AI at all. Advice is valuable only when it narrows the problem honestly.
01
The workflow is assessed before the model
We map inputs, decisions, handovers, repetition and failure cost so the opportunity is measured against the work as it really happens.
02
Privacy changes the architecture
Local, on-device, private-hosted and cloud options are compared against data sensitivity, connectivity, support, hardware, latency and model quality.
03
A prototype must survive evaluation
Representative cases, expected outputs, failure examples and human review are defined before a fluent demonstration is mistaken for a dependable system.
THE TECHNOLOGY NOW
LLMs read and draft; software still owns the rules.
Language models are useful at classification, extraction, drafting, summarisation, search assistance and structured transformation when the task and evidence are bounded. Smaller models can run locally on capable hardware, while stronger hosted models may be appropriate for selected work. The application should own permissions, validation and actions either way.
01
Local LLMs can protect a clear boundary
Running a model on a workstation or controlled server may keep prompts and outputs close to the source, reduce external dependency and support offline tasks.
02
Retrieval connects answers to approved knowledge
A system can search selected documents and supply relevant evidence to the model, but source quality, permissions and versioning still determine reliability.
03
Structured output makes integration practical
Constrained fields can turn model output into a draft record, classification or workflow input that software can validate before it is used.
04
Human review remains a design decision
Consequential actions need clear confirmation, attribution, recovery and audit. The interface must show what the model produced and what the person approved.
WHERE IT IS GOING
Expect hybrid systems, smaller models and stronger controls.
The practical direction is hybrid and model-neutral: smaller local models handling frequent bounded work, selected tasks routed to stronger services, and business software retaining the policy, tools, evidence and audit trail. Organisations that understand their workflow and information boundaries can change models without restarting the whole project.
We plan for likely change without making your project depend on a prediction.
01
More capable small models running on laptops, phones and dedicated local hardware.
02
Applications switching between local and hosted models according to task, sensitivity, cost and latency.
03
Multimodal workflows combining documents, images and audio inside one reviewed business process.
04
Evaluation sets, permission-aware retrieval and traceable actions becoming standard operational controls.
CUSTOM VS OFF-THE-SHELF
Use a public assistant for general work; integrate only where the process needs it.
A public AI subscription is useful for general personal tasks. Consultancy and custom integration become valuable when the opportunity depends on your terminology, approved knowledge, permissions, workflow and measurable quality threshold.
DecisionOff-the-shelfCustom with Beta Check Hub
Use-case fit
A general assistant offers broad capability but leaves staff to adapt the conversation and transfer the result manually.
The task, inputs, output shape, evidence and review step are designed around one repeated piece of work.
Privacy and deployment
Data handling, retention, model and region follow the controls available in the chosen subscription.
Local, private or hosted routes are selected after classifying the information and operational requirements.
Quality and accountability
Results are often judged informally from a few conversations, with limited traceability when the answer changes.
Representative evaluations, citations, structured outputs, validation and human approval define whether the system is useful enough.
We will say when an existing product is the sensible answer. Custom work should earn its place through fit, control, integration or long-term value.
HOW WE HELP
Move from an interesting demo to a measured business workflow.
You can engage us for one focused capability or a joined-up delivery. We shape the work around the outcome, handover and level of support you need.
01
Workflow opportunity review
Interviews and process mapping that identify valuable, unsuitable and higher-risk uses of AI across the operation.
02
n8n workflows & system connections
Connect the inbox, forms, customer records and business tools you already use. We configure triggers, data checks, review steps and failure alerts, with custom API work where required.
03
Local LLM assessment
Model, runtime and hardware options compared against privacy, quality, speed, maintenance and total operating cost.
04
Prototype & evaluation
A bounded proof tested against representative work, failure cases and a written definition of acceptable output.
05
Implementation roadmap
Architecture, data preparation, controls, interfaces, responsibilities, phased delivery and a realistic support plan.
HOW WE WORK
Pilot one bounded task and test the failure cases first.
01
Observe the workflow
Find repeated reading, copying, searching, classifying or drafting work and quantify the current cost.
02
Classify data and risk
Define what information may be used, where it may run, and which outputs require evidence or approval.
03
Prototype the smallest case
Test one bounded task with real examples rather than building a broad assistant before the value is known.
04
Evaluate and plan
Measure quality, latency and effort, then recommend implementation, revision or a deliberate stop.
PRACTICAL QUESTIONS
Questions before we begin.
Can this be a standalone engagement?
Yes. We agree the deliverables, acceptance criteria and handover for a focused engagement or combine it with other disciplines where useful.
What should we bring to the first call?
An outline of the goal, existing materials, important dates and any technical or commercial constraints. Confidential details can wait until suitable terms are agreed.
How is the project priced?
Fees depend on scope and delivery requirements. We provide a proposal before work starts, including responsibilities, assumptions, third-party costs and tax treatment.
A CLEAR NEXT STEP
